What information we collect, use, and why

We collect or process the following information to help our clients (UK based charities) understand the needs of the people they support and whether their work as a charity is making a difference.

Some of the personal information we process is provided to us directly – for example if someone completes an online survey or attends a focus group. We also process data which charities have already collected themselves.

We collect and process the following personal information:

  • Names and contact details
  • Gender
  • Occupation
  • Health information (people’s views on their general health and health conditions which people say they have)
  • Sexual orientation and ethnic group (if they are relevant to the research we are conducting)
  • Feedback and opinions relating to the charities’ work

We also collect names and contact details of potential clients via contact forms. We use this for marketing and communication purposes only.


Our lawful bases for the collection and use of your data

Our lawful bases for collecting or using personal information are:

  • Consent – if you have given permission, after being given all the relevant information. All of your data protection rights may apply, except the right to object. You have the right to withdraw your consent at any time.
  • Legitimate interests – when processing the information benefits the people our charity clients support. All of your data protection rights may apply, except the right to portability.


Lawful bases and data protection rights

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO’s website.

Which lawful basis we rely on may affect your data protection rights which are in brief set out below. You can find out more about your data protection rights and the exemptions which may apply on the ICO’s website:

  • Your right of access - You have the right to ask us for copies of your personal information. You can request other information such as details about where we get personal information from and who we share personal information with. There are some exemptions which means you may not receive all the information you ask for. You can read more about this right here.
  • Your right to rectification - You have the right to ask us to correct or delete personal information you think is inaccurate or incomplete. You can read more about this right here.
  • Your right to erasure - You have the right to ask us to delete your personal information. You can read more about this right here.

If you make a request, we must respond to you without undue delay and in any event within one month.

How long we keep information
Our policy is to keep the personal information we collect or process for the duration of each project and then at most for up to six months for quality assurance purposes.

If we keep the personal information for longer for research purposes, we will recontact you every 12 months to ask for your consent.
If we process data for another organisation, we may keep it for longer in line with their retention policy. If we do we will provide a link to their privacy notice.


Who we share information with
If we collect data on behalf of a client we may share it with them or organisations with whom they work. We will always describe, at the point of collection, the ways in which data are to be shared.


Where we store your personal information 
The online survey platform we use is SmartSurvey. Their servers are in the UK.

Our business software provider is Microsoft. Their servers are in the European Union.


How to complain
If you have any concerns about our use of your personal data, you can make a complaint to us using the contact details at the top of this privacy notice.

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.
